This Privacy Policy explains how RDClaim ("we", "us", "our") collects, uses, and protects information when you use rdclaim.co.uk (the "Site"). We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. What information we collect
Tool usage data: When you use the R&D eligibility grader, your answers are processed entirely within your browser. We do not store or transmit your answers to our servers unless you actively choose to request a specialist assessment.
Assessment request data: If you choose to request a free specialist assessment, we collect your name, email address, company name, phone number, and a summary of your tool answers. This information is required to connect you with our specialist partner.
Usage analytics: We use Cloudflare Web Analytics to understand how the Site is used. This is a privacy-preserving analytics tool that does not use cookies and does not track you across websites. No personal data is collected through analytics.
2. How we use your information
- To connect you with our specialist R&D tax advisory partner when you request an assessment
- To improve the accuracy and usefulness of the eligibility tool
- To comply with our legal obligations
We do not use your information for marketing purposes. We do not sell your data to third parties.
3. How we share your information
When you request a specialist assessment, your contact details and tool summary are shared with our specialist partner firm (currently Lumo Tax). This transfer is necessary to provide the service you have requested. Our partner firm is subject to their own privacy policy and data protection obligations.
We may also disclose information where required by law or to protect our legal rights.
4. Legal basis for processing
We process assessment request data on the basis of your consent, given when you actively submit the assessment request form. You may withdraw this consent at any time by contacting us.
Analytics data is processed on the basis of our legitimate interest in understanding how the Site is used, in a privacy-preserving manner that does not identify individuals.
5. Data retention
Assessment request data is retained for a maximum of 12 months from the date of submission, after which it is securely deleted. If you have not proceeded with a specialist assessment within this period, your data will be deleted sooner upon request.
6. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data
- Withdraw consent at any time
- Lodge a complaint with the Information Commissioner's Office (ICO)
7. Cookies
This Site does not use tracking cookies. Cloudflare Web Analytics does not require cookies. No cookie consent banner is displayed because no consent is required.
8. Security
The Site is served over HTTPS with 256-bit SSL encryption provided by Cloudflare. We take reasonable technical measures to protect any data transmitted through the Site.
9. Changes to this policy
We may update this Privacy Policy from time to time. The date at the top of this page will reflect the most recent update. Continued use of the Site after any changes constitutes acceptance of the updated policy.
